North Shore is currently seeking a full-time, Office Administrator for our Health and Safety Division, based out of Calgary, Alberta.
Key Responsibilities
- Maintain the ongoing development and implementation of the safety database system to track internal and external training, worker competency profiles, and engagement activities
- Create, review, and revise company forms on our online Safety Management Software
- Ensure our Health and Safety Management System (HSMS) documents are kept up to date and formatted correctly
- Prepare reports and documentation as required to support the Health and Safety Division
- Assist with facility-specific orientations and onboarding of new staff as required
- Maintain sign-in and sign-out procedures for all equipment inventory
- Purchase and maintain inventory of all consumable and non-consumable field equipment
- Manage equipment repairs including obtaining quotes and equipment drop off and pick up
- Greet visitors and respond to inquiries by guests and clients
- Maintain and replenish office supplies and equipment as needed
- Book hotel accommodations and flights for staff
- Manage key fobs, door schedules, and employee office access permissions
- Basic administrative tasks (i.e., answering phone calls, filing, and photocopying)
- Distribute mail and parcels
- Assist with other administrative duties, as required
- Promote a positive health and safety culture
Qualifications
- 1-3 years of experience in an administrative role. Preference will be given to those candidates with Health & Safety experience
- Certificate or Diploma in Office Administration is preferred
- Knowledge of OH&S legislation and standards (AB, BC, SK)
- Advanced working knowledge of Microsoft Office Suite and database entry (including Excel, PowerPoint, Outlook, and Word). Experience with Peloton SiteViewâ„¢ will be considered an asset
- Background in Health & Safety is preferred. Health and Safety Administrator (HSA) designation will be considered an asset
- Detail-oriented and has the ability to work well in a fast-paced, deadline driven environment
- Strong organizational skills and the ability to prioritize work
- Strong work ethic, reliable, and self-motivated with the ability to work in a team environment
- Ability to maintain a high level of confidentiality and professionalism
- Excellent written and verbal communication and interpersonal skills
- Valid driver’s licence
